Problems locating assignments using InCopy/InDesign CS5

we have introduced indesign/incopy cs5 workflow our studio. we've come against big problem hoping can shed light on.

 

1. make assignment , package incopy.

 

2. incopy user edits, checks in.

 

3. when opened indesign, these 2 messages:

 

 

we in trial stage , running between 2 different mac os (10.6.4 , 10.5.8) , sharing files off pc server running windows 2003. changed afp smb support longer character names. none of our file names have been moved, renamed or deleted in way. when 'browse locate correct document', go never-ending loop of finding , linking not getting anywhere. if open indesign file, red hexagon , question mark symbol. click on it, select update assignments, , clears hexagon symbol however, duplicates .imca file in our assignments folder. once save , reopen, hexagon symbol again.

 

what be?

why packaging assignments? using remote editors or copywriters?

 

if on site, should saving server staff members can access.
